Executive Assistant to the Chief Executive Officer (CEO)
Position Description
The Executive Assistant (EA) to the Chief Executive Officer (CEO) is a highly trusted and confidential role that provides executive support to the CEO of ESB. The successful candidate will support the CEO's effectiveness through proactive executive support, stakeholder engagement, dynamic coordination and the seamless management of a complex and demanding schedule.
The successful candidate will work closely with senior leaders, colleagues and external stakeholders, ensuring the CEO's office operates efficiently, professionally and to the highest standards of confidentiality and service. The successful candidate will manage the CEO's time, triage and prioritise requests proactively, to ensure an efficient and quality performance.

Some travel and out-of-hours work may be required to support the effective performance of the role although this is not a routine part of the role.
Key Responsibilities
- Proactively manage the CEO's diary, priorities and commitments, ensuring optimal use of time and alignment with strategic business objectives
- Act as a key point of contact on behalf of the CEO, building and maintaining effective relationships with internal and external stakeholders while exercising sound judgement and professionalism
- Coordinate executive meetings, leadership events, Board and governance engagements, and other corporate activities, ensuring seamless planning and execution
- Prepare high-quality correspondence, briefing materials, presentations and reports, ensuring accuracy, attention to detail and adherence to deadlines.
- Anticipate and resolve scheduling, logistical and operational challenges, proactively managing competing priorities in a fast-paced environment
- Triage requests for CEO time, managing the flow of information and calendar
- Manage confidential information relating to commercial, legal, governance, financial and people matters with the highest levels of discretion, integrity and professionalism
- Collaborate closely with Executive Committee support teams and colleagues across ESB to ensure effective coordination, knowledge sharing and support for organisational priorities
Experience and Qualifications
Essential
- Demonstrated experience supporting senior leaders in a complex, professional environment
- Exceptional organisational and planning skills, with the ability to manage multiple priorities and deliver to tight deadlines
- Excellent written and verbal communication skills, with the ability to adapt communication style to different audiences
- Proven ability to build trusted relationships and work effectively with a broad range of internal and external stakeholders
- Excellent judgement, discretion and integrity when handling highly sensitive and confidential information
- Strong proficiency in Microsoft 365 applications, including Outlook, Teams, Word, Excel and PowerPoint, together with an aptitude for learning and using new technologies and systems
- Ability to work independently, take initiative and anticipate needs in a dynamic and fast-paced environment
- Willingness to be available outside of normal working hours and work to tight deadlines
Desirable
- Previous Executive Assistant or Personal Assistant experience supporting executives, Board members or senior leadership teams.
- Experience using enterprise systems such as SAP, SharePoint and SuccessFactors
Location
This position will be based in ESB Head Office, 27 Fitzwilliam, Dublin 2.
Smart Working at ESB is designed to make ‘in-person’ time together as purposeful as possible while also enabling the effective use of digital tools and hybrid arrangements to preserve our commitment to flexibility. The successful candidate may work flexibly within the jurisdiction where they have been employed, with attendance at the workplace for in-person collaboration at least two days per week. All Smart Working arrangements are subject to regular review based on the operational requirements of the role, the team, and the business.
Reporting To
This role reports to the Senior Manager Company Secretary.

Salary
€41,500 - €48,800 per annum, depending on experience.
