Admin Team Member, My Time
Position Description
The MyTime Team, within Digital & Process Support, play an important role in supporting ESB Networks’ timesheet and out-of-pocket claims processes, helping ensure accurate, timely alignment with payroll schedule.
The applicant should have strong interpersonal skills, good attention to detail and be comfortable dealing with a variety of stakeholders and have a good appreciation of the ESB Networks business.
Key Responsibilities
- Supporting MyTime Solution users and key stakeholders by promptly responding to queries and helping with day-to-day requests.
- Maintaining accurate MyTime data through regular data management, updates and checks.
- Communicating with users and stakeholders to encourage the timely submission and processing of timesheets.
- Processing out-of-pocket expense claims in a timely and accurate manner.
- Managing errors and resolving system discrepancies promptly to support accurate payroll and reporting.
- Maintaining evidence and records in line with agreed processes and record-keeping requirements.
- Following data protection requirements when handling employee, timesheet and claims information.
- Supporting post-room activities.
- Completing weekly reporting tasks to help monitor activity, progress and outstanding items.
- Supporting the maintenance of process documents, job aids and guidance materials so they remain accurate and up to date.
- Assisting with system testing for upgrades, enhancements and change requests.
Experience and Qualifications
Essential
- Either 3rd Level qualification or equivalent work experience.
- Excellent IT skills (especially in the Microsoft Suite)
- Proven ability in Stakeholder management
- Excellent communication and interpersonal skills.
- Highly motivated, able to work on own initiative as well as part of a team.
- A high level of commitment and flexibility.
- Willingness to learn and develop.
- Strong teamwork skills.
Desirable
- Full Driving Licence.
Location
This position will be based in ESB Networks Depot, Sean Mulvoy Road, Galway.
Smart Working at ESB is designed to make ‘in-person’ time together as purposeful as possible while also enabling the effective use of digital tools and hybrid arrangements to preserve our commitment to flexibility. The successful candidate may work flexibly within the jurisdiction where they have been employed, with attendance at the workplace for in-person collaboration at least two days per week. All Smart Working arrangements are subject to regular review based on the operational requirements of the role, the team, and the business.

Salary
€33,590 – €40,204
